Terms of Service

The agreement between you and Arasay LLC, doing business as Coastal Casa Cleaning, that governs your use of our website, accounts, and cleaning services.

These Terms of Service ("Terms") form a legally binding agreement between you and Arasay LLC, doing business as Coastal Casa Cleaning ("Coastal Casa Cleaning," "Coastal Casa," "we," "us," or "our"). These Terms govern your access to and use of CoastalCasaCleaning.com, customer accounts, online estimates, booking tools, communications, and cleaning services (collectively, the "Services").

By creating an account, requesting an estimate, booking a service, checking a box indicating acceptance, or otherwise using the Services, you agree to these Terms and the policies incorporated into them, including our Privacy Policy, Cancellation Policy, Satisfaction Guarantee, and Service Checklists & Exclusions.

If you do not agree, do not book or use the Services.

1. Eligibility and Authority

You must be at least 18 years old and legally capable of entering into a contract.

By booking a service, you represent that:

  • You are authorized to request cleaning at the service address;
  • You are authorized to grant our personnel access to the property;
  • The information you provide is accurate and complete; and
  • The booking does not violate a lease, homeowners' association rule, building policy, or agreement with another person.

If you book for another person or property, you remain responsible for the booking, payment, access instructions, and compliance with these Terms unless we agree otherwise in writing.

3. Estimates and Pricing

Online and telephone estimates are based on information supplied by you, including property type, square footage, bedrooms, bathrooms, condition, pets, service type, frequency, add-ons, access, and other details.

You understand and agree that:

  • An estimate is not a guaranteed final price when submitted information is inaccurate, incomplete, or materially different from actual conditions;
  • Taxes, clearly disclosed fees, discounts, credits, and optional gratuities may be applied where applicable;
  • Additional quantities, labor, time, or requested work may increase the price;
  • Promotional pricing may be subject to eligibility requirements and expiration dates; and
  • A booking is not confirmed until accepted by us and supported by a valid payment method.

If actual conditions materially differ from the booking, we may pause work and contact you for approval of a revised price, revised scope, or different service type. We will not intentionally perform material additional work and charge for it without authorization, except for a fee already disclosed and accepted under these Terms or another applicable policy.

4. Service Scope and Checklists

The scope of a cleaning is determined by:

Standard Cleaning, Deep Cleaning, Move-In/Move-Out Cleaning, and Vacation Rental Cleaning have different scopes. Recurring Cleaning generally follows the applicable residential checklist, saved customer preferences, and the selected frequency.

A task is not included unless it appears as included in the selected checklist, is purchased as an add-on, or is approved in writing.

5. Scheduling and Arrival Windows

Requested dates and times are subject to availability and are not confirmed until we send a confirmation.

Unless we expressly promise an exact arrival time, appointments may be scheduled within an arrival window. Delays may occur because of traffic, weather, earlier appointments, building access, emergencies, or circumstances beyond our reasonable control.

We will make reasonable efforts to communicate significant delays. A delayed arrival does not automatically entitle you to a refund when the service can still be completed within a reasonable period.

6. Recurring Services

Recurring services may be offered weekly, biweekly, every four weeks, or at another stated frequency.

By enrolling in recurring service, you authorize us to:

  • Schedule future appointments at the selected frequency;
  • Send booking reminders and service communications;
  • Charge the saved payment method for confirmed appointments and properly disclosed fees; and
  • Maintain recurring property preferences and access information as described in our Privacy Policy.

You may skip, pause, reschedule, or cancel future appointments subject to our Cancellation Policy.

Recurring pricing may depend on the expected interval between visits. If appointments are skipped, paused, or delayed, the next service may require more time or may be repriced as a less-frequent, one-time, or deep cleaning. We will disclose a revised price before performing material additional work.

We may change recurring prices after providing reasonable advance notice. The new price applies only to future services after the effective date stated in the notice.

7. Payment Authorization

You agree to provide a valid payment method and authorize our payment processor to store a payment token for current and future authorized transactions.

Depending on the booking workflow, we may:

  • Validate the payment method at booking;
  • Place a temporary authorization hold on your card, generally about 24 hours before the scheduled cleaning, to secure the appointment;
  • Capture the full authorized amount after the service is completed;
  • Charge approved add-ons or price adjustments;
  • Charge a properly disclosed cancellation, no-access, or lockout fee; and
  • Issue approved refunds or credits.

An authorization hold is not necessarily a completed charge and may temporarily reduce your available balance. The release timing is controlled by your bank or card issuer.

If payment fails, we may request another payment method, suspend future services, or pursue amounts lawfully owed.

Gratuities are optional unless expressly stated otherwise.

8. Customer Responsibilities

You agree to:

  • Provide accurate property and condition information;
  • Provide safe, timely, and lawful access;
  • Ensure working electricity and running water;
  • Maintain a reasonably safe environment;
  • Secure pets when needed;
  • Identify fragile, valuable, unstable, damaged, or sentimental items;
  • Disclose known hazards, pests, infestations, mold, bodily fluids, weapons, illegal substances, or unsafe conditions;
  • Remove excessive clutter when it prevents reasonable access;
  • Provide building, parking, gate, elevator, concierge, and association requirements in advance;
  • Notify us of indoor cameras or recording devices where appropriate or required;
  • Prevent occupants, guests, and pets from interfering with or endangering personnel; and
  • Review your booking summary before confirmation.

You are responsible for delays, incomplete service, or additional time caused by inaccurate information, unavailable access, unsafe conditions, excessive clutter, uncontrolled pets, or undisclosed restrictions.

9. Property Access

You may provide access through keys, lockboxes, door codes, gate codes, smart locks, concierge instructions, or another approved method.

You are responsible for ensuring that access information is accurate and active for the appointment.

If we cannot enter or safely begin within 30 minutes of the scheduled arrival or first access attempt, the appointment may be treated as a no-access appointment under our Cancellation Policy.

Do not provide unrelated passwords, complete alarm-management credentials, financial credentials, or other unnecessary sensitive information.

For recurring service, access information may remain stored until you remove it, cancel service, or request deletion, subject to lawful operational, security, fraud-prevention, and recordkeeping needs.

10. Keys

If we agree to hold a physical key:

  • The key should not display the full property address;
  • We may assign an internal identifier;
  • You must notify us promptly when authorization changes;
  • You may request return with reasonable notice; and
  • A claim involving an allegedly lost key will be reviewed based on the circumstances, documentation, applicable law, and available insurance.

Do not leave keys in unsecured locations unless you accept the associated risk.

11. Pets

You must disclose pets and provide instructions needed for safe entry and service.

We may require an animal to be secured if it is aggressive, anxious, likely to escape, or likely to interfere with the work. We may stop or decline service if a pet presents a safety risk.

Except to the extent caused by our proven negligence, we are not responsible for an animal escaping when it was not properly secured or when customer access instructions created that risk.

12. Cameras and Recording Devices

You may use lawful security cameras, but you agree not to place or operate recording devices in areas where cleaning personnel reasonably expect privacy, including bathrooms or changing areas.

You should disclose indoor recording devices before service where required by law or where audio recording may occur.

We may stop service if we reasonably believe personnel are being unlawfully recorded or monitored in a private area.

13. Right to Refuse or Stop Service

We may refuse, suspend, or stop service when we reasonably determine that:

  • The property is unsafe;
  • There are undisclosed hazards, biohazards, mold, pests, infestations, weapons, illegal activity, or aggressive behavior;
  • Required utilities are unavailable;
  • Access is unlawful or unauthorized;
  • The scope materially exceeds the booking;
  • A customer, occupant, guest, or animal threatens or harasses personnel;
  • Equipment cannot be used safely; or
  • Payment authorization fails.

You may be charged for completed work, reserved time, travel, or an applicable cancellation/no-access fee when permitted by the accepted policy and applicable law.

14. Excluded and Specialized Work

Unless expressly accepted in writing, we do not provide:

  • Mold, biohazard, crime-scene, or hoarding remediation;
  • Pest or infestation cleanup;
  • Hazardous-material removal;
  • Cleanup of substantial bodily fluids, animal waste, or needles;
  • Restoration or repair work;
  • Construction-debris removal;
  • Exterior window cleaning;
  • High-area work requiring unsafe ladder use;
  • Heavy furniture or appliance moving;
  • Disposal of personal belongings without authorization;
  • Laundry involving contaminated items; or
  • Work requiring a specialized license or certification we do not hold.

15. Customer-Supplied Products

We may decline to use a customer-supplied product that is unlabeled, unsafe, incompatible with the surface, outside manufacturer instructions, or prohibited by company policy.

If you request use of a product you supply, you represent that it is suitable for the intended surface. We are not responsible for damage caused by a defective, mislabeled, improperly stored, or unsuitable customer product except to the extent caused by our proven misuse.

Notify us in advance of allergies, sensitivities, or product restrictions. We cannot guarantee an allergen-free environment.

16. Breakage, Damage, and Pre-Existing Conditions

Report alleged damage as soon as reasonably possible and no later than 48 hours after service, unless a longer period is required by law or the damage could not reasonably have been discovered earlier.

A report should include:

  • The affected item or area;
  • Photographs or video;
  • The service date;
  • A description of the alleged damage; and
  • Relevant receipts, repair estimates, or ownership information where available.

We may inspect the item or property and request reasonable documentation.

We are not responsible for pre-existing damage, ordinary wear, deterioration, loose or improperly installed items, concealed damage, manufacturer defects, aged materials, extraordinary sentimental value not disclosed in advance, or damage caused by customer-supplied products or unsafe instructions.

Nothing in these Terms excludes liability that cannot lawfully be excluded.

17. Satisfaction Guarantee

Our Satisfaction Guarantee is incorporated into these Terms.

To qualify, you must report a covered concern within the stated reporting period and provide reasonable access for us to inspect or re-clean the affected area.

A corrective cleaning is generally the primary remedy. Refunds or credits may be offered when appropriate or required by law.

18. Cancellation, Rescheduling, and No-Access Appointments

Our Cancellation Policy is incorporated into these Terms.

It explains notice deadlines, late-cancellation fees, same-day changes, recurring-service changes, no-access appointments, and exceptional circumstances.

The applicable fee is displayed before booking confirmation.

19. Website Security and Fraud Prevention

We use security technologies to protect website forms, accounts, booking requests, login activity, and other online interactions from spam, fraud, automated abuse, and malicious activity.

Google reCAPTCHA v3

We use Google reCAPTCHA v3, a score-based security service, on selected forms and online actions, such as account registration, sign-in, password reset, contact, and booking requests.

reCAPTCHA v3 evaluates technical and behavioral signals associated with an interaction and returns a risk score or related assessment. We may use the assessment to accept or reject a submission, require additional verification, route a submission for manual review, or otherwise protect the website, customers, and business systems. A risk score does not by itself establish that a person acted improperly.

Google processes reCAPTCHA data on our behalf under Google's applicable terms. If a legitimate submission is blocked, contact us using the alternative methods listed below or in our Accessibility Statement.

Microsoft Clarity

We use Microsoft Clarity, delivered through Google Tag Manager, to understand how visitors interact with the website, identify usability issues, diagnose errors, and improve the booking experience.

Clarity may generate heatmaps, interaction analytics, and session replays as described in our Privacy Policy and Cookie Policy. Clarity loads only after the applicable analytics consent described in those policies, and we intend to mask or exclude sensitive fields and account routes.

20. Accounts and Security

You are responsible for activity through your account and must:

  • Use accurate information;
  • Protect your password;
  • Restrict access to your devices; and
  • Notify us promptly of suspected unauthorized use.

We may suspend or terminate an account for fraud, abuse, nonpayment, unsafe conduct, repeated policy violations, or unlawful use.

21. Communications

You consent to receive transactional communications necessary to administer estimates, appointments, access, payments, account security, and support.

Marketing communications are governed by our Privacy Policy and SMS Terms. Consent to marketing is not a condition of purchasing services.

22. Reviews and Customer Content

You may provide honest reviews and feedback. Nothing in these Terms prohibits or penalizes an honest assessment of our services.

You may not submit content that is knowingly false, defamatory, threatening, fraudulent, unlawful, unrelated to an actual experience, or that discloses private information about workers or customers.

If you submit content directly for publication, you grant us a nonexclusive, worldwide, royalty-free license to reproduce and display it for the purpose authorized by you.

23. Intellectual Property

The website, trade names, logo, text, graphics, photographs, checklists, interface, and other content are owned by or licensed to Arasay LLC and protected by applicable law.

You may use the website only for authorized personal or business purposes related to the Services. You may not copy, scrape, republish, sell, reverse engineer, or misuse protected content without permission.

24. Third-Party Services

The Services may rely on third parties such as payment processors, scheduling platforms, maps, communication providers, Microsoft Clarity, Google reCAPTCHA, analytics services, and authentication providers.

We are not responsible for a third party's independent acts, omissions, outages, policies, or security practices.

25. Website Disclaimer

We aim to keep the website accurate and available, but do not guarantee uninterrupted or error-free operation.

A service-specific booking confirmation controls over general website descriptions when the two conflict.

26. Limitation of Liability

To the fullest extent permitted by law, Arasay LLC will not be liable for indirect, incidental, special, punitive, exemplary, or consequential damages, including lost profits, lost rental income, lost bookings, or loss of use.

To the fullest extent permitted by law, our aggregate liability for a claim relating to a specific cleaning service will not exceed the greater of:

  • The amount paid for that specific service; or
  • The amount recoverable under applicable insurance for a covered claim.

This limitation does not apply to liability that cannot lawfully be limited.

27. Indemnification

To the fullest extent permitted by law, you agree to indemnify Arasay LLC and its personnel from third-party claims arising from your lack of authority to book or grant access, your violation of law or these Terms, undisclosed unsafe conditions, unsafe instructions, or misuse of the Services.

This does not require you to indemnify us for our own negligence where prohibited by law.

28. Dispute Resolution

Before filing a lawsuit, you and Arasay LLC agree to attempt in good faith to resolve the dispute through written notice and informal discussion for at least 30 days.

Either party may pursue an eligible claim in small-claims court.

29. Governing Law and Venue

These Terms are governed by Florida law, without regard to conflict-of-law rules.

Subject to mandatory consumer rights and a valid dispute-resolution agreement, legal proceedings must be brought in a state or federal court located in Pinellas County, Florida.

30. Events Beyond Reasonable Control

We are not liable for delay or failure caused by events beyond our reasonable control, including severe weather, hurricanes, flooding, fire, government orders, utility failures, transportation interruptions, public emergencies, or failures of third-party systems.

We will make reasonable efforts to reschedule affected services.

31. Changes to These Terms

We may update these Terms prospectively.

Material changes affecting recurring customers may be communicated by email, account notice, or another reasonable method. Changes do not retroactively alter a completed booking unless permitted by law and accepted by the parties.

32. Electronic Acceptance and Records

You agree that electronic records and signatures may be used in connection with the Services.

We may retain evidence of acceptance, including the customer or account identifier, booking identifier, date and time, accepted document versions, and technical records reasonably associated with acceptance.

33. General Provisions

If a provision is unenforceable, the remaining provisions remain in effect.

Our failure to enforce a provision is not a waiver.

You may not assign your rights under these Terms without our consent. We may assign these Terms in connection with a business transfer.

These Terms and incorporated policies constitute the entire agreement concerning the applicable Services unless a separate written agreement applies.
